Ask every provider to confirm
- Each extraction system and extraction point included in the visit
- Whether a current commissioning report or benchmark data is available
- Competence, report format, defects process and record retention
- Travel, access equipment, out-of-hours work and VAT treatment
What this planner does
Use it to organise local exhaust ventilation systems before a thorough examination and test (TExT). It applies a 14-month planning window to a recorded test date, but a competent person may advise a shorter interval for a particular system or risk. The budget is a VAT-exclusive planning range, not a national price list.
Sources and model limits
HSE says employers should arrange a thorough examination and test of LEV at least every 14 months, with more frequent testing where wear can reduce effectiveness. Keep the report, commissioning information and defect actions with the asset record.

Questions to settle before booking
Does the provider have the right system list?
Give them every extraction system, its location, number of hoods or points, last report date and any access restriction. Ask them to identify omissions before visiting.
Is the quote for examination and test only?
Separate repairs, recommissioning, replacement filters, duct cleaning, hires and out-of-hours work. A pass/fail label is not a substitute for a clear report and actions.
